A strong wind and rain storm ravaged Southern California, leaving 350,000 homes and businesses without electricity or left permanently damaged. Fires broke out, semi-trucks toppled over, schools were closed and historical monuments were destroyed. Everyone was affected. It’s time to ask yourself this: Is your business prepared for a storm to hit?

In this assignment, the student will address how his/her HIM department can return to business when something like this strikes. You should assume you have an electronic health record system, but you also have 3 years worth of old paper records still on site in the department. The file room was flooded and the electronic health record system was rendered useless due to loss of electricity during the actual storm. When the electricity came back you discovered an even more significant problem: the electronic backup systems failed. You were able to recover full data from your EHR, but only up to 1 week prior to the storm. This means that one week’s worth of data was missing from the system without any EHR system backup. In your efforts to recover health information missing from both the paper records and the EHR, you learned many things. The first, and most important lesson learned, was that you need to document a disaster recovery plan in order to handle future situations like this without having to start from “scratch”.

After this disaster struck, you received an email announcement from your local HIM association about a new online game module on contingency planning, designed by the Office of the National Coordinator for Health Information Technology (ONC). Since you are planning to develop a disaster plan, you must go through this online game module to ensure you have covered all aspects of your plan. 1. Steps taken to recover paper and electronic data (be specific and include at least 5 actions/steps).

2. Develop a detailed outline of a plan for unforeseeable disasters and ensure your business is not left vulnerable to a natural disaster. What could you have done in advance to prevent the kinds of things that happened with this disaster? Include specific steps to ensure the confidentiality, integrity, and accessibility of health information. Downtime procedures, system back up, and system criticality analysis are all items that should be included to address business continuity.
